# AI Email Parsing & Revocable Permissions

This release introduces AI Email Parsing — a fully automated pipeline that connects your email inbox to Sembark, converts incoming travel Enquiries into leads, and keeps the entire conversation history linked to the trip. Alongside that, we have added revocable permissions per user for tighter access control, and expanded quote email customisation with options to show or hide activity timing and remove transport or activity sections entirely.

Let's dive into more details.

## AI Email Parsing

We have introduced AI Email Parsing — a feature that connects your email mailbox to Sembark and automatically converts incoming travel Enquiry emails into Trip Plan Requests (leads). The AI reads each incoming email, decides whether it contains a valid travel Enquiry, and if it does, creates a lead in the system without any manual effort.

**Why this feature matters**\
\
Travel agencies receive dozens of Enquiry emails every day. Previously, someone had to read each email, extract the relevant details, and manually create a lead in the system. This was time-consuming and prone to leads being missed or delayed. With AI Email Parsing, the moment an Enquiry lands in your inbox, it is processed automatically — so your sales team can focus on converting leads rather than entering them.

### Setting Up Your Email Mailbox

Before the AI can start processing emails, you need to connect an email mailbox to Sembark.

**Navigate to Profile → Organisation → Settings → Integrations → New Integration**

Scroll down and click on the Email Mailbox integration option.

**Creating the Integration**

A New Mailbox Integration modal will open. Fill in two fields:

* Integration Name — A label to identify this integration in your integrations list (e.g., Enquiries Mailbox or Sales Inbox).
* Description — A short note about what this mailbox is used for.

Click Create Integration to continue.

**Choosing a Connection Method**

Once the integration is created, you will see two options:

* Gmail OAuth — for connecting a Gmail account through Google's authorisation flow
* IMAP/SMTP — for connecting any email account using server settings

Select IMAP/SMTP to proceed.

**Configuring the Mailbox Identity**

On the configuration page, fill in the following fields:

* Mailbox From Name — This name will appear as the sender name on all outgoing emails sent through this mailbox.
* Mailbox Email — The email address that will be used for sending and receiving emails.

**Selecting a Setup Style**

Under Setup Style, choose a Mailbox Preset that matches your email provider. Available presets are:

* Google Workspace / Gmail, Microsoft 365 / Outlook, GoDaddy, Hostinger, Zoho Mail
* Custom — use this if your provider is not listed (e.g., Yahoo Mail)

Selecting a preset automatically fills in the server settings for you.

**Example:** Selecting Google Workspace / Gmail auto-populates the IMAP host as imap.gmail.com along with the correct port and username format.

Next, set the provider type to IMAP + SMTP.

You will also see three optional toggles:

* Enable Incoming Synchronisation — allows the system to receive and process incoming emails
* Enable Outgoing Send — allows the system to send emails through this mailbox
* Push Read/Unread State Back to IMAP — when you mark an email as read or unread inside Sembark, that change is reflected back on your actual email server as well

**Incoming and Outgoing Server Settings**

If you select a preset, both the Incoming Server (IMAP) and Outgoing Server (SMTP) fields will be pre-filled. You only need to provide an App Pass code. To learn more about \`How to generate Gmail App Pass Code\`, [click here.](https://support.google.com/accounts/answer/185833?hl=en) 

Paste the generated app password into the App Password field in Sembark and click Add Mailbox. Your mailbox is now connected and ready to start receiving and processing emails.

### Viewing Incoming Emails

Once your mailbox is set up, a new item called **Mail Messages** becomes available under the Trips navigation menu. The Mail Messages page shows all incoming emails from every connected mailbox. The page automatically refreshes every **1 minute** to fetch new messages. You can also refresh it manually at any time.

### **Understanding AI Lead Statuses**

Each email on the Mail Messages page is tagged with a status based on how the AI processed it.

#### Lead Created

When the AI finds enough information in an email to identify it as a travel Enquiry — such as a destination, travel dates, number of travellers, or specific requirements — it automatically creates a **Trip Plan Request (TPR)** with a unique number. The email is tagged as **Lead Created** and the TPR is tagged with an **AI** label, indicating it was automatically generated by the parser.

#### No Enquiry Found

If the AI determines that the email does not contain enough relevant travel information to create a lead, it tags the email as No Enquiry Found.

**The email was reviewed but did not meet the criteria for a lead. No TPR is created.**

#### Parsing Skipped

This status appears when a follow-up email arrives in an already-processed conversation thread.

How this works in practice:

1. A customer sends an Enquiry email.
2. The AI processes it and creates a TPR.
3. Your team converts the TPR into a Trip and sends the customer a quotation.
4. The customer replies to the same email thread.
5. That reply email appears on the **Mail Messages** page but is tagged **Parsing Skipped**.

This prevents the system from creating a duplicate lead from a follow-up reply. The conversation is already linked to an existing trip.\
\
**Direct Navigation to Leads and Trips**

Each conversation entry provides direct links:

* **Lead ID** — click to open the Trip Plan Request (TPR) page for that lead, where you can review the original Enquiry details.
* **Trip ID** — click to go directly to the Trip page, where you can review quotations sent, track the communication history, and continue managing the booking.

### Parsing Usage Report

At the top of the Mail Messages page, click Parsing Usage to open the usage dashboard. This dashboard shows a detailed breakdown of how your AI Email Parsing credits have been used. You can filter the data by a specific day, week, month, or a custom date range.

AI parsing now uses a separate credit balance and billing system, independent of existing billing. Credits are consumed based on actual usage, and no credits are charged when the feature is not used.

#### **Email History Within a Trip**

Once a lead is converted into a Trip, an Emails tab becomes available inside that Trip. This tab contains the complete communication history for that trip — from the original Enquiry email through to the latest customer reply.

#### **How the Conversation Timeline Works**

Example scenario:

A customer sends a travel Enquiry for a Jaipur trip (6 nights / 7 days, 2 adults and 2 children, travel date 15th June). The AI parses the email and creates a TPR tagged with an AI label.

Your team converts the TPR into a Trip, prepares a quotation, and sends it to the customer. The outgoing email is recorded in the Emails tab.

When the customer replies, their response is automatically synchronised into the same email thread inside the trip. Every entry shows a relative timestamp (e.g., 1 hour ago, 2 days ago), giving your team a chronological view of the full conversation without needing to check the email inbox separately.

### Manage Access

A team-based access control system for connected email mailboxes. Admins can now define which teams have access to a mailbox and precisely what each team is allowed to do within it, from reading emails to sending replies.

**Accessing Mailbox Permissions**

Navigate to Organisation → Settings → Integrations → select your Email Mailbox integration → Manage access\

**Configuring Permissions Per Team**

For each team you add to a mailbox, you can independently allow or deny three permissions:

* **Read** — team members can view incoming emails in the mailbox
* **Templates** — team members can access and use saved email templates when composing replies
* **Replies** — team members can send email replies directly from the mailbox

You can allow or deny any combination of these permissions per team. Multiple teams can be added to the same mailbox with different permission levels each.

### Complete End-to-End Journey

The AI Email Parsing feature covers the entire customer journey from first contact to active booking:

1. Customer sends an Enquiry email to your connected mailbox.
2. AI processes the email and creates a Trip Plan Request automatically.
3. Your team reviews the TPR and converts it into a Trip.
4. A quotation is prepared and sent to the customer.
5. The customer's reply is automatically synchronised into the Trip's Emails tab.
6. The full conversation history is accessible in both the Trip and the Inboxes section of the integration.

Every communication stays linked, traceable, and available in one place throughout the sales and trip management lifecycle.

### Benefits

* Enquiry emails are converted into leads automatically — no manual data entry required.
* Duplicate lead creation is prevented through the Parsing Skipped logic.
* The full email conversation history lives inside the Trip, eliminating the need to switch between Sembark and your inbox.
* The Parsing Usage dashboard gives clear visibility into credit consumption and parser performance.
* Smart Skips reduce unnecessary credit usage on non-Enquiry emails.

## Email Sharing from Quotations

You can now send a quotation to a customer directly from within Sembark, tied to an ongoing email conversation. The quotation is delivered from your connected mailbox and lands in the same thread the customer is already part of — keeping the entire communication history in one place.

## Revocable Permissions Per User

We have introduced revocable permissions at the individual user level, giving organisations finer control over what each team member can access and do within the system. You can now grant or remove specific permissions for any user directly from their profile, independent of their assigned role.

### Why this feature matters

Previously, a user's access was determined entirely by their role. If you wanted to restrict or expand access for a specific person, you had to either change their role or adjust the role's permissions — which affected every user with that role. Revocable permissions solve this by letting you make targeted changes per user without touching the role configuration.

### How Revocable Permissions Work

When you view a user's profile, you can now see and manage a set of permissions assigned specifically to that user. Each permission can be individually granted or removed.

This allows two scenarios:

* **Restricting a user** — you can remove a permission that their role normally allows, so that specific user no longer has access to that capability.
* **Expanding a user's access** — you can grant a permission that their role does not include, without changing the role itself.

### Accessing the Feature

**Navigate to Profile → Organisation → Team Members → Select a user → Permissions**

Review the listed permissions and toggle as needed for that specific user.

### Benefits

* Apply targeted access restrictions without modifying role-level settings.
* Expand access for specific users without creating new roles.
* Maintain clean role structures while accommodating individual exceptions.
* Reduce risk by revoking sensitive permissions for specific team members when needed.

## Other Improvements

* **Trip Quote Templates:** Now, you can add header on the first page and footer on the last page of the Trip Quote Template PDF, ensuring all generated quote documents have a complete and consistent Header and footer regardless of length.
* **Transport Service Export:** Resolved an issue where the Transport Service export was not correctly applying destination filters and certain other filter combinations, resulting in incomplete or incorrect export data. Exports now return accurate, fully filtered results.
* **Chinese Language Support :** Added a new font family with proper support for Chinese characters, improving the display and print quality of quotes, vouchers, and other documents containing Chinese-language content.
* **Show / Hide Activity & Transport Timing in Quote Email & WhatsApp:** A new Activity & Transport Timing toggle has been added to the Quote Email Template settings. This lets you control whether activity timings (start time, end time, or duration) are displayed in Quote Emails and WhatsApp messages.
