How to Choose DMC Software 10 Things to Check Before You Buy

How to Choose DMC Software: 10 Things to Check Before You Buy

Every software looks good in the demo.

I’ve seen this first-hand. A while ago, I sat in on a demo for a Bali-based DMC. The vendor built a 6-night family itinerary in minutes, and the owner was impressed. Honestly, so was I.

Then the owner did what any DMC owner would do. He started asking for changes, the way a real guest would.

One extra night. A different hotel for the last 2 days. And could the whole trip move 2 days later?

The vendor made all three changes, but it took a while. Then the owner asked, “What’s my margin now? And where’s the last quote we sent them?”

Nobody could answer right away.

That is the part a demo never shows you. It shows you how easily you can make the first quote. It doesn’t show you what happens when the guest changes their mind.

And guests do change their minds. A new season’s rate sheet comes in. The exchange rate moves. An agent asks for a different markup. None of this is unusual. It’s a normal week.

When we were running a travel business ourselves, we went looking for software that could handle that normal week. Most tools we found were built on theory, not on what a travel business deals with every day.

That gap is why we designed Sembark around real use cases and real operational pressure.

This guide skips the feature list. It gives you 10 checks to run in your next DMC software demo, with the exact questions to ask the vendor.

First, the short version.

Quick Answer: How Do You Choose DMC Software?

Choose DMC software by testing it against your real workflow, not its feature list. Check how it handles supplier rates, quote changes, margins, currencies, B2B agents, operations, finance, implementation and total cost.

The right system stays accurate when bookings, prices and plans change, even after the quote has gone out.

What Should You Look for in DMC Software?

If you’re wondering what to look for in DMC software, start with the baseline. Every DMC software should cover these eight areas

  • Supplier and contract management: Contract management, so you can store hotel, transport and activity contracts with rate rules and validity dates. Smart price handling, so the right rate applies by season and weekday.
  • Quotation and amendment management: A smart itinerary builder, so you can build a costed quotation in 60 seconds and amend it later without redoing it. Every itinerary sent after an amendment is logged in history.
  • Pricing and markup: Component-wise markup and tax, so you can set a different margin for hotels, transport and activities instead of one flat markup. Auto-tour costing, so totals, taxes and markups are calculated automatically.
  • Multi-currency: Multi-currency support in the itinerary builder, so you can quote in the currency your client pays in, with foreign rates converted.
  • Bookings and operations management: A smart tour calendar, so your team gets a real-time view of upcoming tours. Trip and hotel vouchers, so you can generate them instantly.
  • Payment and invoice tracking: Real-time payment tracking, so incoming and outgoing payments are recorded automatically and due dates come with reminders. Along with Proforma invoices, which can be generated instantly and can be shared in PDF, Doc or message.
  • Supplier ledger: A suppliers ledger, so you can see what is paid, pending and outstanding for every supplier.
  • User roles and permissions: User management and roles, so sales, operations and finance teams work only within their defined responsibilities.

Having these features is not the real test. The real test is whether they stay accurate when the work around them changes.

10 Things to Check Before You Buy DMC Software

  1. Does it fit your type of DMC?

A DMC that sells mostly FIT (free independent travellers, such as couples and families) works differently from one that runs groups or MICE (meetings, incentives, conferences and exhibitions). Add B2B agents, inbound or outbound work and trips across several destinations, and the needs change again.

If you are shortlisting DMC software for FIT and group tours, ask to see both workflows. Groups bring rooming lists, free places and different payment terms. A system built only for single-family quotes struggles here.

The same goes for DMC software for MICE and incentive trips. Ask the vendor to show a real corporate group booking, not a family quote with a bigger headcount.

So start with how you already sell. The software should fit that process. You shouldn’t have to bend your business around it.

Ask in the demo:

  1. “Do you have a solution built for my type of business? Show me how it works for a company like mine.”
  2. “Can one login run my B2B and B2C brands without mixing their data?”

How Sembark Handles It

2. Can it handle your supplier contracts and rates?

Real contracts are rarely simple, and your costing starts with them, so mistakes here cost real money. Check that the system can hold season-wise prices, occupancy, child rates, meal plans, blackout dates, contract dates and rate changes.

Then test it with a practical scenario. You quote a 5-night stay that ends the day before a peak season begins. The guests ask for one extra night, and that night falls in the peak season.

Now does the software price that night as per peak season rate? Does it show you a new margin straight away?

Ask in the demo:

  • “Where do I store my hotel, transport and activity contracts, with rate rules and validity dates? Can I upload them in bulk instead of typing each one?”
  • “Add one extra night that falls in peak season. Does it pick the peak rate and update the cost and markup on its own?”

How Sembark Handles It:

  • Supplier and Contract Management stores your hotel, transport and activity contracts with rate rules and validity dates.
  • Bulk Upload, Edit and Delete lets you add, update or remove rate data in volume, with access controlled by role or department.
  • Smart Price Handling applies the right rate when you quote, by weekday, future date or break period.
  • Auto-Tour Costing picks the right rate and recalculates costs and markups when you amend a quote.
  • When you amend a quote, rates are re-applied from your database, and every sent itinerary is saved in the log history.

3. How does it handle quote changes?

Go back to the Bali demo. The three changes were not the problem. The problem was that nobody could say what the guest had been sent before.

Check revisions, version history, pricing changes and confirmed services. When you amend a quote, does the earlier one disappear or stay on record?

A weak system overwrites the old quote and loses the trail, whereas a good system tracks changes instead of replacing the old quote with the new one.

Ask in the demo:

  • “Add a night and change the last hotel. Do I have to rebuild the quote, or can I edit it directly?”
  • “After the change, do the cost and markup update on their own?”
  • “After I amend a quote and send it again, where can I see the earlier versions I sent?”

How Sembark Handles It:

  • In the Smart Itinerary Builder, you can edit cabs, hotels, activities or pricing without redoing the entire quotation.
  • Costs and markups are recalculated automatically after each change.
  • Every itinerary sent after an amendment is saved in the log history.

4. Can you trust the margin?

In the Bali demo, margin was the owner’s first question after the changes, because it is the number you rely on most. Be clear on two things: Where is the markup applied? Who can manage it?

Check markup, commission, overrides and net rates, and see what happens to the margin when a booking changes. If you can’t see your margin before sending a quote, you’re guessing. And if anyone can change markup unnoticed, you can’t fully trust the number either.

Ask in the demo:

  • “Can I set markup overall, per person and per component, like hotels and transport separately?”
  • “Can I choose whether tax applies on cost plus markup, on markup alone, or on both?”
  • “If I change the quote, does the markup update automatically?”
  • “Can I decide which team members can view, edit or manage? Can an admin track all user actions?”

How Sembark Handles It:

  • Pricing and Mark-up lets you set markup overall, per person, per component, or per component and person combined.
  • You choose whether tax applies on cost plus markup, on markup alone, or on both.
  • Costs and markups recalculate automatically after each change in the Smart Itinerary Builder.
  • User Management and Roles lets you decide which team members can view, edit or manage.
  • Admins can track all user actions.

5. How does it handle multiple currencies?

Many DMCs buy in one currency and sell in another. If you need DMC software with multi-currency pricing, the part that matters is knowing when the exchange rate is applied, and what happens when it changes.

Check cost currency, selling currency, exchange rates and the final margin. The key question is when the exchange rate is applied. Is it fixed at quote, at confirmation or at payment? And what happens when it changes?

For example:: You quote a trip at Rs 96 per US Dollar. The guest pays when the rate is Rs 95. Which rate does your profit report use?

Ask in the demo:

  • “Build a quote in a foreign currency. Where does the exchange rate come from, and can I enter on my own?”
  • “Now log a payment at a different rate. What does the profit report show?”
  • “For a package priced in foreign currency and sold to an Indian customer, how is the online payment converted to INR?”

How Sembark Handles It:

  • The Smart Itinerary Builder supports multi-currency quoting, so whether your client pays in INR, USD, AED or another currency, the itinerary shows pricing in that currency.
  • Auto-Tour Costing converts foreign rates and shows cost, markup, tax and profit before you share.
  • The Profit Reports use the exchange rates given at the time of booking being logged instead of the quote rates.
  • Online payments from Indian customers for packages sold in foreign currency are converted to INR at the live exchange rate, plus your markup, when each instalment is paid.

6. Does it work for your B2B agents?

If agents bring you a large share of your business, check agent pricing, commissions, permissions, balances and white-label documents, which carry the agent’s brand instead of yours.

The test is simple: pricing and branding should be easy to manage without exposing your supplier nets.

Ask in the demo:

  • “Can I control the markup on a quote per component or per person, so I decide what each quote carries?”
  • “Can I set what each team member is allowed to view, edit or manage?”
  • “Can I send quote PDFs with or without my branding?”
  • “Can my B2B and B2C businesses run under one login without mixing data?”

Also ask how agents get their quotes. Do they log into a portal, or do you send documents on their behalf? Either can work, as long as it suits how your agents already work with you.

How Sembark Handles It:

  • Pricing and Mark-up lets you set markup per component or per person, so you control what each quote carries.
  • User Management and Roles controls who on your team can view, edit or manage.
  • You can also share full picture non-branded quotations to your agents for ready to share with their cost price hidden.
  • Multi-Brand Expand keeps B2B and B2C companies separate under one login.

7. Does a booking move smoothly into operations?

A confirmed booking is where sales hands over to operations. Check confirmations, vouchers, rooming lists, assignments and calendars.

Then test the awkward case: sales changes something after confirmation. Do operations find out automatically, or on the day of arrival?

Ask in the demo:

  • “Change an itinerary or transport detail as a sales user. Now show me what operations see.”
  • “If the same cab or guide is assigned to two trips, will I see the clash?”
  • “Can I generate a voucher from a confirmed booking, and update it if the booking changes?”
  • “Can I pull a check-in and check-out report by service, date range or supplier?”

How Sembark Handles It:

  • The Smart Tour Calendar is one calendar for upcoming tours, tasks and team activities, synced automatically with upcoming trips.
  • Any change to an itinerary or transport detail shows instantly on the calendar, so sales and operations see the same information.
  • Cabs, guides and team members show against the trips they’re assigned to, so clashes are visible straight away.
  • Trip and Hotel Vouchers are generated instantly from confirmed booking details, and they update automatically when the booking changes.
  • Trip Check-in / Check-out Reports can be filtered by service, date range or supplier.

8. Can finance close the booking properly?

A booking is not finished when the trip is over. It is finished when every payment in and out has been recorded and the numbers add up.

Check invoices, part payments, supplier payments, refunds, reconciliation and booking-level profitability. Your finance team should be able to see the final numbers without rebuilding the booking in another sheet.

Also ask if the software can help with your bookkeeping and tax filing. Many generic CRMs only log payments. They show what customers have paid you and what you owe your suppliers.

Ask in the demo:

  • “How do I see what’s received and what’s pending for each trip?”
  • “Where do I see what I owe each supplier, and when it’s due? Do I get reminders?”
  • “Can I generate a proforma invoice from a booking?”
  • “Which reports do I get on sales, operations and profitability?”

How Sembark Handles It:

  • Real-Time Payment Tracking shows incoming and outgoing payments, with due dates, reminders and cash-flow tracking.
  • Proforma Invoices can be generated instantly and shared via pdf or email.
  • The Suppliers Ledger gives you a live view of every supplier account.
  • MIS Reports and Ledgers cover sales, operations and profitability.

9. Is implementation realistic?

Good software that takes too long to set up is still the wrong fit. Ask how long the setup takes and what each side has to do. “How long does DMC software implementation take?” has no honest universal answer, because it depends on how much supplier and rate data you have, how clean it is, and how much your team can prepare.

If you’re working out how to move a DMC from Excel to software, the real question is how your rate sheets get into the system. Check rate migration, training, integrations, data preparation and who owns onboarding. Then ask for a written plan with tasks, not a vague timeline.

Ask in the demo:

  • “Will you migrate our existing supplier rates, and what else does the setup fee cover?”
  • “Will we get a dedicated account manager, and for how long?”
  • “What training and support will my team have after we go live?”

How Sembark Handles It:

  • A one-time setup fee, along with the monthly subscription, covers data migration, account configuration, workflow mapping and team onboarding.
  • A dedicated account manager for as long as you’re a Sembark user.
  • Step-by-step training guides and 24/7 dedicated support are available.

10. What will it really cost, and can you get your data out?

The subscription price is only part of DMC software pricing. Look at users, modules, onboarding, integrations, support, migration and exit.

To understand DMC software cost properly, compare the full cost over time, not just the first month. Ask what happens when your team grows, which features are included and which are charged separately, and whether there is an exit fee.

Then ask what most buyers skip: can I export my data from travel software if I leave? Check what can be exported, in which format and at what cost.

Ask in the demo:

  • “What’s included in the price, and what’s charged extra?”
  • “Which features are core, and which are add-ons with a separate charge?”
  • “What changes in cost if we add more users?”
  • “If we leave, what can we export, in what format, and is there a charge?”

How Sembark Handles It:

  • Sembark is paid software with a one-time setup fee and a monthly fee per user. The amount depends on your country of registration and how many users you need.
  • There is no free plan, and you pay only for the users you invite to your account.
  • The monthly subscription is fixed, with no hidden costs, and covers product updates, cloud infrastructure, security, backups, integrations and live support.
  • Some features are offered as add-ons.

You can also expert your data out. We do give most of the options to export your data within the CRM to folks with necessary permissions. Even during the transition period, you will have the access to the software to download/view/manage data for leads/confirmed trips/service bookings.

How to Run This Checklist in a Real Demo

Reading a checklist is easy. Using it is where it pays off. Here’s a simple way to run your DMC software demo:

  1. Bring a real booking. Use one of your own, awkward details included.
  2. Ask for changes. Add a night, swap a hotel, move the dates, change the currency.
  3. Involve your whole team. Have sales, operations and finance each watch the parts that matter to them.
  4. Score every vendor. Rate each one from 1 to 10 on the same questions, so you’re comparing like with like.

A vendor who welcomes this is usually confident in the product. A vendor who keeps steering you back to the standard demo is probably showing you the product on its best day, not on a normal week.

FAQs

How do I know if DMC software is actually built for my business?

Look for two things. First, it should handle DMC work, not just enquiries: supplier contracts with seasonal rates, component-wise costing, quote amendments, vouchers, and payments in and out. Second, it should fit how you sell, whether that is FIT, groups, MICE or B2B agents. Test both with your messiest recent booking.

What should I ask a DMC software vendor before buying?

Ask for a live walkthrough of your own scenarios, and cover six areas:

  • Pricing: What is the setup fee, the per-user cost and the add-on cost?
  • Supplier rates: How are contracts stored, updated and applied to a quote?
  • Amendments: Is the earlier quote kept on record after a change?
  • Implementation: Who loads your rates, and what is in the written plan?
  • Support: What help is available after go-live?
  • Data: What can you export if you leave, and in which format?

Score every vendor on the same questions.

How much does DMC software cost?

Common pricing models are flat-rate, tiered, usage-based and per-user, and many vendors combine them. Ask for a written quote for your team size, and check what costs extra: setup, rate loading, training, add-ons, additional users and any minimum monthly charge. Sembark, for example, charges a one-time setup fee that covers onboarding, team training and loading your contract data, plus a monthly fee based on the number of users.

Check the full cost for the first year, including setup and extras, not just the monthly fee.

How long does DMC software implementation take?

There is no universal answer, so before you buy, ask for a written onboarding plan with tasks, owners and dates. It should cover who uploads your supplier contracts and rate sheets and how they are checked before go-live, which integrations you need and who sets them up, role-based training for sales, operations and finance, and the go-live date. Ask what support you get after go-live, and ask for references from similar travel companies about their onboarding.

Can DMC software handle both FIT and group bookings?

Yes, provided it handles each workflow properly, so test both with real bookings. FIT trips are built around one family or couple, so test the changes a guest asks forto make: add a night, swap a hotel or move the dates, and check that the quote and margin update. A group is generally ten or more people, so ask to see a rooming list and the group’s payment terms. For MICE (meetings, incentives, conferences and exhibitions), ask for a corporate booking with several suppliers.

Do I need a B2B portal if I mainly work with travel agents?

Not necessarily. A portal is a login where agents search your products, book trips, add their own markup and pay online, so they don’t need to contact you for every quote. If your agents still ask for quotes on WhatsApp or email, agent pricing, branded quotes and team permissions matter more.

What happens to my data if I stop using the software?

It depends on your contract, so check the terms before you leave. Ask whether you can export your data (bookings, quotations, payments, supplier ledger and rate sheets) in Excel or CSV, how long a full export takes, what it costs, how long the vendor keeps your data after you leave, and whether they confirm deletion in writing.

Is DMC software different from a travel CRM?

Yes, though the two overlap.A travel CRM manages leads, enquiries and the sales pipeline. DMC software adds what happens after the sale: supplier contracts, costing, vouchers, operations and supplier payments. Some products, like Sembark, do both.

Conclusion

Don’t choose DMC software from the demo alone. A demo shows how easily you can build the first quote, but not how the system behaves once the work around it changes.

Use the 10 checks to compare every vendor on the same questions. Look at how each system handles real changes, money, operations and growth, and choose the one that stays accurate when the plan changes.

If you’d like to see how Sembark does on these checks, request a 30-minute demo and bring your messiest recent booking. We’d rather you test us on a real trip than a perfect one.
