09. Data Management

Sembark really shines when it is fed with your personalized data — hotels, transport services, activities, itineraries and contracted rates. As a Data Operator (or anyone managing data sheets), your work powers automated costing for the whole sales team. This guide covers the data management process.

Where Data Lives

All master data is managed from Organization > Repository. The main datasets are:

Upload Rates

Contracted rates make automated tour costing possible. Practice this flow:

  1. Prepare the CSV rate sheet for a dataset (hotels, transport or activities) with seasons and date intervals.
  2. Upload selling rates for quotation, and booking rates (append (Ops) to the season name) for accurate payables after conversion.
  3. Verify rates by creating a test quote and checking the fetched system rates.

Read Rates and Seasons for sheet formats, supplier-wise rates and the cab metric pricing system.

Keep Data Clean

  • Merge duplicate hotels and trip sources; disable unused entries — selection menus stay clean while history is preserved.
  • Use entry-type indicators (manual vs sheet) and “last updated” filters to audit data freshness.
  • Configure closing days and stop sale/blackout dates so the sales team can not quote unavailable services.
  • Activity logs on hotels, transport services and activities show who changed what.

Report Missing Data

If you don’t operate on data directly, you are probably using it — when something is missing or wrong during quotation, sales team members can add it on-the-fly with Quick Add (hotels, transport services, activities) and data operators complete the details later.
