AI Itinerary Importer, Tourist Profile and Document Management Improvements, Improved Profit Reports with Payment-Level Exchange Rates

This release introduces the AI Itinerary Importer : an Industry first feature to create quotations by simply uploading or pasting a supplier’s package document and letting the AI do the rest. Tourist Profile management and Guest Document collection both receive significant improvements in validation, usability, and control. Profit Reports now reflect actual payment-level exchange rates instead of the quote-level rate, giving you a more accurate picture of real profitability. And a few focused additions make quotation creation faster and more contextual.

Let’s dive into more details.

1. AI Itinerary Importer — Create Quotations from Uploaded Package Details

You can now create a quotation directly from a supplier’s package document using the AI Itinerary Importer. Upload a PDF, Word document, or image — or simply paste the package content as text received over the email from the DMC / Supplier — and the AI will read it, extract all relevant details, and automatically populate the quotation for you.

Why this feature matters

Building a quotation from a supplier’s package used to mean reading through the document and manually entering every hotel, transport, activity, and extra into the system. For complex itineraries, this could take more time per quotation. The AI Itinerary Importer reduces that to under a minute — the system reads the package and builds the quotation structure for you, leaving you to review, price, and send.

How to Use the AI Itinerary Importer

  1. Go to Create New Quotes.

  2. Click Upload with AI.

  3. Choose how you want to provide the package content:

    • Paste Content — copy and paste the package text directly into the input area
    • Upload a File — upload a file in any of the supported formats

Supported file formats: PDF, DOC / DOCX, Images (JPG, PNG, etc.)

File size limit: Files must be less than 10 MB.

  1. Submit the content: The AI Itinerary Importer analyses the document and builds the quotation in approximately 30–40 seconds.

What the AI Populates Automatically

Once processing is complete, the following details are automatically added to the quotation based on what the AI finds in the document:

  • Hotels — names, room types, meal plans, check-in and check-out dates
  • Transportation — cab types, transfer details, routes
  • Activities — activity names, timing, and inclusions
  • Hotel Extras / Services — additional services attached to hotel stays
  • Other package information — any other relevant itinerary details found in the document

What You Do After Reading

The AI builds the structure — you complete the pricing and review the details:

  1. Review the auto-populated quotation for accuracy.
  2. Add cost prices and selling prices for each component.
  3. Make any changes or adjustments needed.
  4. Send the quotation to the customer.

Note: The AI Itinerary Importer extracts and populates whatever information is present in the uploaded document. Always review the quotation before sending to confirm the details are correct.

Benefits

  • Reduce quotation creation time to under a minute for standard supplier packages.
  • Eliminate manual data entry errors when transcribing from supplier documents.
  • Works with the formats suppliers already send — PDFs, Word documents, or even images of itineraries.
  • The pasted-text option works for packages received over WhatsApp or email without a file attached.

Tourist Profile Improvements

Several improvements and fixes have been made to Tourist Profile management.

  • Duplicate validation — a warning is shown if the entered email or phone number already exists when creating a Guest Profile.
  • Search — the search now shows a guidance hint (Name / Phone / Email), a Tourist Profile Not Found message for no results, retains the selected profile even after the search is cleared, and the Use This button is now fixed so it is never hidden by table overflow.
  • Form additions — a Remarks field, an inline Edit Profile button, and N/A display for unavailable amounts have been added to the profile form.
  • Bug fixes — fixed Guest Profile not showing correctly when editing a guest name on an existing trip; fixed Child Tourist Profile handling during trip creation; added Document Review and Document ID support in the Documents section; fixed mobile UI distortion on Edit Profile and when adding multiple phone numbers.

Tourist Document Upload and Management Improvements

Several improvements have been made to the Tourist Document collection flow.

  • Documents linked to tourists, not destinations — documents must now be manually selected per tourist from the Document Selector in Trip Tourist Management. Only selected documents appear for that tourist on the upload form.
  • Mandatory fields on submission — Tourist Type, Tourist Name, Age (children only, must be > 0), Document ID, and Consent are now required fields.
  • Tourist controls — new tourists inherit the Primary Tourist’s document requirements. The Add Tourist button hides once PAX count is reached. Tourists can be removed until submitted; once submitted, they cannot be removed and their type cannot be changed.
  • Submission lock — once all documents are submitted, the form closes and shows an ✅ All Documents Uploaded Successfully confirmation. Submitted documents cannot be edited; to replace one, delete it from the dashboard and ask the guest to re-upload.
  • Document Link — can now be copied directly from the Tourist Management modal. Copy Link has been renamed to Request Documents. Expiry now shows as remaining time (e.g., 10 days, 4 hours) instead of a fixed date.
  • Upload limits and nationality — images must be under 6 MB, PDFs under 2 MB. India now appears at the top of the Nationality dropdown.

Improved Profit Reports with Payment-Level Exchange Rates

Previously, the Profit Report relied on the exchange rate set at the quotation level. If payments were received or made at a different rate, the reported profit did not reflect the actual amounts involved. With this update, you can now enter the actual exchange rate — or the exact INR amount — at the time of logging each payment, and the Profit Report will calculate profit based on those real values.

Why this feature matters

In multi-currency trips, the exchange rate at the time of payment is rarely identical to the rate used when the quotation was created. A package quoted at ₹83/USD may end up being paid at ₹84/USD or ₹82/USD. Using only the quote-level rate meant the Profit Report could show a figure that didn’t match what was actually received or paid. Payment-level exchange rates fix this at the source.

How It Works

When logging a payment — either an Incoming Payment from a customer or an Outgoing Payment to a supplier — you can now enter:

  • The actual exchange rate applicable at the time of payment, or
  • The exact INR amount received or paid

The Profit Report then calculates profit using the rate or amount entered at each individual payment, rather than applying the quotation-level rate uniformly across all transactions.

Where the Update Appears

The updated figures are reflected in the Profit After Bookings section of both the on-screen Profit Report and the downloaded Profit Report Excel export.

Latest Comment Displayed on New Quotation Page

The most recent comment added in the TPR or Trip is now displayed in the upper-right section of the New Quotation page.

Why this matters

When a salesperson sits down to build a quotation, the relevant requirements — destination, number of travellers, hotel preferences, specific instructions from the customer — are often buried in the comments of the TPR or Trip.

Previously, they had to navigate away from the quotation, find the comment, and then return. The latest comment now surfaces directly on the quotation page, keeping the context visible while the quotation is being built.

What It Shows

The most recent comment from the linked TPR or Trip is displayed. This could include:

  • Destination and travel dates
  • Number of travellers and room configurations
  • Specific activity, hotel, or transfer requests
  • Any special instructions added by the sales team or customer

No action is required to enable this — the comment appears automatically on the New Quotation page whenever a linked TPR or Trip has a comment.

General Hotel Notes — Destination Mapping

General Hotel Notes can now be mapped to specific destinations. Once a note is linked to a destination, it will automatically appear whenever that destination is selected in a quotation — eliminating the need to manually add recurring notes for commonly used destinations.

The character limit for General Hotel Notes has also been increased to 1,000 characters, allowing more detailed information to be stored per note.

Why this matters

Many organisations have standard notes that apply every time a specific destination is used — hotel policies, check-in procedures, local guidelines, or supplier-specific instructions. Previously, these had to be added manually to each quotation. With destination mapping, the relevant note appears automatically the moment that destination is selected.

How to Use

When creating or editing a General Hotel Note, map it to one or more destinations. From that point forward, any quotation that includes that destination will automatically display the mapped note.

Other Improvements

  • Transport and Hotel Service Selection After Conversion: Previously, selected Pickup/Drop items from Transport settings and Hotel Check-in/Check-out selections were automatically carried over when a quotation was converted into a trip. These will no longer be auto-displayed after conversion. To display them, edit the respective service from the Service Booking page and re-select the required item manually.
  • Cab Type Creation Restricted by Permission: Salespersons who do not have Transport access (based on Revocable Permissions) can no longer create a new Cab Type from the Quotation page. They can still select and use existing Cab Types when adding Transport Services to a quotation.
  • Hotel Blackout and Sold-Out Dates — Separated UI Sections: The Hotel Blackout Dates and Sold-Out Dates settings, previously combined in a single section, are now separated into two dedicated sections. Each can be managed independently, and the overall interface has been updated for a cleaner and more organised experience.
