Hotel Changes, Replacements and Drops

Replace hotels, handle drops and cancellation charges after bookings

Plans change — hotels get sold out, customers upgrade, trips get cancelled. Sembark lets you handle hotel modifications from the same booking view without redoing the work.

Change or Replace a Hotel

During a booking status update, you can add a replacement hotel before or after the booking confirmation. The booking moves to the Changed status and the new hotel goes through the regular enquiry and confirmation flow.

Drop a Hotel

If a hotel is no longer needed, drop the booking. During the drop process you can add cancellation/drop charges, and the associated supplier payments update automatically to reflect the charges.

Sync with Quote Changes

When the quotation is updated after conversion (e.g. an extra night or a different room type), pending booking prices auto-update based on the latest converted quote and applicable booking rates. Bookings already assigned to suppliers are preserved for manual review.

Use the Quote Booking Diff listing (Top Navigation > Trips > Quote Booking Diff, or Bookings > Quote Booking Diff for reservation/operations teams) to find trips where the latest quotation and booked services don’t match. Dashboard cards also show a difference-count badge for Hotel Bookings and Cab Schedules.

Payment Safety

Once any linked instalment is paid, booking modifications such as re-assignment or unbooking are disabled to protect your accounting. Payment totals only change through package or booking detail changes — see Outgoing Payments.
