Quote Pricing, Markup and Taxes

Understand pricing strategies, markup, taxation, rounding, FOC and multi-currency support in quotes

After adding services in a quote, the final step is to set the selling price. Sembark provides multiple pricing strategies and automated markup, taxation and rounding so you can quote at your desired price with an estimated profit.

Pricing Strategies

  • Overall — set markup and taxes on the total package cost and share a single package price.
  • Per-Person (PP) — share per-person prices along with the total. The system calculates per-person rates across different room-night configurations as long as all adults and children are allocated to beds or marked complimentary.
  • Per-Component (PC) — apply markup and taxation per component (hotels, transport, activities, extras) with separate tax rates and optional rounding per component. Two taxation strategies are available: Tax on Cost + Markup or Tax on Only Markup.
  • Per-Component Per-Person (PC-PP) — component-wise markup and taxation with per-person price display for clients.

Markup

Markup can be applied in three modes:

  1. Percentage — auto-updates whenever the cost changes.
  2. Fixed total markup — automatically distributed across the package.
  3. Per-person markup — the total markup is auto-calculated from per-person values.

Taxes

Add a tax percentage (e.g. GST) on the final package amount and all price components update automatically. Admins can configure available tax types (GST, VAT, TCS etc.) with display names and default percentages from Organization Settings — see Currencies and Taxes.

Rounding

Enable price rounding to round the total and per-person prices. With per-component strategies, rounding applies to each component’s cost + markup + taxes (and flights) separately before summing the total.

Free of Cost (FOC) Travellers

  • Package-level FOC — mark complimentary travellers at the package level (Overall pricing strategy). The system recalculates per-person pricing for paying travellers only, and this reflects in quotations, PDFs, vouchers and emails.
  • Transport exclusion — with per-person pricing, you can exclude specific adults from transport charges (at least one adult must bear the transport cost).
  • Activity FOC — mark one or more guests as FOC for specific activities so only paying members are charged. FOC adults and children are configured separately. This is not available for group tickets, and is shared with suppliers only.

Multi-Currency Quotes

You can use supplier rates in different currencies (e.g. hotels in USD, cabs in EUR) and sell in a single currency. Exchange rates are auto-populated from your organization’s master exchange rates, and the system warns you if your quote’s rates differ from the master rates. After conversion, bookings are initialized in the original supplier currency.

NOTE

Once a trip is converted and has paid instalments, the package currency can not be changed.

Rate Changes and Safety

  • During a quote edit, system rates are not silently reset. If rates changed between amendments, the system notifies you and asks whether to keep the old rates or update to the new ones before saving.
  • Backend/system rates are visible in the Quote Summary so you can identify any modified rates.
  • If you modify a quote after conversion with a price lower than the existing one, the system warns you before saving.
