Quote PDF and Email Template Customization

Customize fonts, sections, branding, greetings and layout of your Quote PDFs and Emails

Admins can fully customize how shared quotes look. Templates are managed from Top Navigation > User Icon > Organizations > Repository > Templates. Changes apply to Quote PDFs and Quote Emails, with live previews for many settings.

Fonts and Appearance

  • Choose font families for Body Text, Headings and Section Headings. Available options include Inter, Montserrat, Roboto, Playfair Display, Work Sans, Syne, Nunito, Cormorant Garamond, Jost, Outfit, Lora and more.
  • Customize page border styles (8 options) with per-direction width, section title background colors and borders.
  • Set the PDF background color (a light brand shade) with opacity control.
  • Your brand color theme from the Business Profile is applied to headers and section highlights.
  • Control the watermark (brand name + trip ID) opacity for all generated PDFs; set it to zero to remove it.

Sections — Show, Hide and Reorder

You can control the visibility and order of PDF sections:

  • Total Price, Flights, Hotels, Transfer & Activity, Day Wise Itinerary, Important Notes, Inclusions & Exclusions
  • Package Overview layout: Label & Value or Table View
  • Hotels: multiple card styles; customizable section title
  • Day Wise Itinerary: Stacked or Side-by-Side layouts with image positioning
  • Quoted Price sections can be reordered, with option-wise pricing display
  • Customize section titles for Inclusions and Exclusions, Terms & Conditions and Transportation
  • Organize inclusions/exclusions under category headings — categories appear in PDF, email, WhatsApp and trip vouchers

Prices

  • Hide Prices — generate quotation PDFs without pricing. Enable at template level with a per-PDF override checkbox.
  • Component-wise totals — display subtotals after each component (Hotels, Transport, Activities, Flights, Other Inclusions) instead of only the grand total.

Greetings and Notes

  • Set custom greeting messages with rich-text formatting and placeholders such as CUSTOMER_NAME and BRAND_NAME.
  • Add Important Notes to quotations with markdown formatting; they are visible in the Quote Email and can be reordered.
  • Attach customer remarks with categories, shared in WhatsApp, Email and PDF.

Destination Images and Branding Pages

  • Upload a full-page portrait destination image with an optional dark/light overlay showing guest details, start date and duration.
  • Add a full-page customer testimonials or branding page per destination, automatically included at the end of the Quote PDF.
  • Upload brand header and footer banner images used in Quote, Hotel Voucher and Trip Voucher PDFs.
  • Customize the Sales Representative title (default: “Your Holiday Consultant”) or remove it. Salesperson contact numbers (set by Admins on the Users page) appear in the PDF footer.

Branded and Non-Branded PDFs

For B2B sharing, generate non-branded PDFs without header, footer, greetings and salesperson details. Upload separate non-branded header/footer/destination images and enable non-branded generation per trip source (B2B, B2C or both) in the template settings.

Word Document Download

Quote content can also be downloaded as an editable MS Word document (.docx) alongside PDF — useful for B2B partners who re-brand quotes. See Share Quote.
